Ontario Fire Administration Inc. (OFAI) collects and uses information to operate Candidate Testing Services, manage public website requests, process bookings and purchases, deliver support, verify certificates, and protect the security of its systems and users.
This page summarizes the information handling practices reflected in the current OFAI website and candidate workflows. It applies to the public OFAI site, the candidate-facing booking and support experience, and related operational tools made available through the platform.
By using the site or submitting information through OFAI forms, accounts, support tools, or checkout flows, you consent to the collection, use, and disclosure practices described in this policy, subject to applicable law.
Depending on the workflow you use, OFAI may collect:
- account and profile details such as your name, email address, phone number, mailing details, and candidate identifiers;
- testing and transaction information such as booked sessions, orders, receipts, cancellations, support history, and assessment-related records;
- content you submit through public contact forms or authenticated support requests, including uploaded attachments where enabled;
- certificate-verification request details such as requester email address, access reason, verification status, IP address, and user-agent information;
- technical information such as IP address, browser data, device/session details, referrer information, and site usage details needed to operate and secure the platform.
Information is collected when you provide it directly to OFAI, including when you:
- create or use an account;
- book assessments or complete checkout;
- submit contact forms, support tickets, or accommodation-related requests;
- upload files or supporting documents;
- request certificate access or complete certificate verification steps;
- search the site or browse public pages.
Some technical information is also collected automatically through standard web technologies such as session cookies, server logs, and browser storage used to support site features.
OFAI uses information to:
- create and administer candidate accounts;
- process assessment bookings, orders, cancellations, refunds, and operational notices;
- deliver customer service and manage support tickets;
- verify certificate access requests and reduce misuse or fraudulent access attempts;
- send receipts, verification codes, status updates, and other service-related communications;
- review submissions, uploaded documents, and contact requests;
- maintain site performance, troubleshoot issues, and protect the integrity and security of OFAI systems.
OFAI uses Stripe to process online payments for supported booking and checkout workflows. Payment card details are handled through Stripe's payment tools and are not stored in full on OFAI's application servers.
OFAI may also use service providers that help deliver email, file storage, hosting, spam prevention, or other platform operations. These providers are given access only to the information reasonably required to perform those services.
Where OFAI must disclose information to comply with the law, protect rights or safety, investigate misuse, or enforce applicable terms and policies, it may do so as permitted or required by law.
The OFAI platform uses standard session technologies required to operate login, form submission, and other core website features. Some page features also use browser storage for temporary preferences, such as dismissing announcements during the current session.
Public forms may use rate limiting, honeypot fields, IP-based monitoring, and bot-detection tools such as reCAPTCHA where enabled to reduce abuse and protect the site.
You can control cookies through your browser settings, but disabling required cookies may affect site functionality.
OFAI retains information for as long as reasonably necessary to operate the service, maintain records, resolve disputes, support assessments, meet legal obligations, and protect against misuse.
OFAI uses administrative, technical, and operational safeguards that are reasonably designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. No internet transmission or electronic storage method can be guaranteed to be completely secure.

The OFAI website may link to third-party sites or services. This Privacy Policy does not govern information practices on those external sites, and you should review their privacy terms separately.
OFAI may update this Privacy Policy from time to time. Updated versions will be posted on this page and become effective when published unless stated otherwise.
Operational notes
Candidate-facing workflows may involve public contact forms, account creation, session booking, payment processing, support requests, cancellations, certificate verification, and document uploads. Different features collect different information based on what is needed to complete that workflow.
Where a workflow references another policy, such as the Registration Policy, both documents should be read together.
